Default Meeting Minutes February 19, 2012

Trumbull Canoe Trails
Meeting Minutes
Sunday, February 19, 2012

FINAL

Approved by voice vote of club members present at meeting conducted on July 8, 2012

Call to Order

Club president Mike Danko, called the meeting to order at 4:45 p.m. at the Quaker Steak and Lube restaurant in Austintown, Ohio, with approximately 25 members and guests in attendance. The primary purpose of the meeting was to set the trip schedule for the 2012 paddling season.

Treasurer’s Report

Club treasurer Patty Allen reported the income, expenses, and balance for the club checking and saving accounts. Ray Novotny moved to accept the treasurer’s report; John Little seconded the motion. The club members present voted to accept the report. Contact Patty Allen for information on specific dollar amounts of income, expenses, and account balances.

Secretary’s Minutes

Outgoing club secretary Betka Axe read the minutes of the previous club meeting on January 15, 2012, at the Procrastinator’s Christmas Party. The members present voted to approve the minutes as read.

Old Business

1. Club Newsletter
Despite significant personal difficulties that have prevented publishing the club newsletter for the past several months, Tom Delo wants to continue to serve as the newsletter editor. Club president Mike Danko asked the club members if they are agreeable to this. No one objected, nor has another club member volunteered to serve as editor. Stan Shiderly moved that the club allow Tom to continue to serve as editor. John Little seconded the motion and the club members present voted to approve the motion. Stan also reminded the members of the need for timely submission of newsletter content in order to meet the monthly publishing and mailing deadlines.

2. Member List
Club president Mike Danko spoke of his need for a list of members’ phone numbers in order to be able to contact trip leaders and other club members. Club treasurer Patty Allen will be providing him with a complete membership roster including phone numbers.

3. Meeting Venue
Club President Mike Danko explained why the club was meeting at Quaker Steak and Lube. The room was free and members could order off the menu rather than pay for a buffet. It is also centrally located. He encouraged suggestions for other future meeting sites.

4. Safety
Efforts to reach the U.S. Coast Guard representative to conduct a safety class, tentatively scheduled for March 4, 2012, have been unsuccessful.

Efforts to contact Mike Bowman of Youngstown State to use the university pool for throw rope practice have also been unsuccessful.

New Business

1. Mahoning River
Zack Svette of Trumbull County MetroParks reported that 22.5 miles of the Mahoning River between Foster Park and Packard Park will be designated as an Ohio water trail. A public announcement will be made in about two weeks with a formal ribbon-cutting ceremony to be held sometime in July once signage can be placed at points along the trail. Volunteers will be needed to help keep the river trail clear of obstructions. Club president, Mike Danko, said that the club will schedule official trips on June 23 and 24 to help clear obstructions and place signage.

2. Shenango River Watchers
Vice president Ed Rigby noted that the club will participate in two Shenango River runs this season sponsored by the Shenango River Watchers who will also provide food and shuttle service on these trips. As a show of support for their work, Ed suggested that the club join the Shenango River Watchers. Dues for an organizational membership are $35. John Little moved that club funds be used for the club to join the Shenango River Watchers. Mike Danko seconded the motion. Club members present voted to accept the motion.

3. Non-profit Status
Vice president Ed Rigby raised the concern of a club trustee who was not present at the meeting. The trustee believes that the club needs to operate in a way that is more in line with its founding as non-profit legal entity. In the opinion of the trustee, this means the club should improve its record keeping. This would help avoid situations such as the lapse in the club’s non-profit status that now requires the club treasurer to complete government forms in order that the non-profit designation be re-instated. It is not clear what other actions or activities the trustee believes the club should undertake to adhere to its non-profit status. Ed noted that the club is moving more toward promoting paddling and paddling safety, possible activities that are consistent with a non-profit organization.

4. Trip Schedule
Club members, led by president Mike Danko and assisted by vice president Ed Rigby, engaged in a spirited and enthusiastic planning session for the club’s 2012 trip schedule. On tap this year are 19 trips plus the Procrastinator’s Christmas Party in January 2013. The schedule is attached to these meeting minutes.

5. Liability Release Form
Copies of the club’s liability release form need to be printed and members need to sign the form for 2012. The form is not available on the club website.

Adjournment

At approximately 6:15 p.m, Rich Klasen moved that the meeting be adjourned. Tim Parkin seconded the motion and members present approved the motion. The next scheduled meeting is at the club picnic on July 8, 2012.
